INsourced™ Client Intake Process Management

ABA Growth Team is not a provider of “outsourced” services. Rather, we become an integral part of your team and work collaboratively with you. We call this “INsourcing”!

Many ABA companies have difficulty with properly managing the influx of people inquiring about services, keeping track of waitlists, and waiting for parents to provide medical records and letters of medical necessity from physicians. As a result, many potential clients either end up going to other ABA providers, or (even worse) going without services for their children.

ABA Growth Team has the solution. A finely-tuned and proven process that will maximize the efficiency of getting clients through the intake process, insurance authorization, and assessment steps. Your clients will have one person from our team acting as their main point of contact from the first phone call until the service kickoff meeting at the beginning of their therapy.

We will become a virtual part of your team and provide the following services:

• “Live” intake manager to answer all incoming client inquiries on the phone, email, or online forms
• We will provide a dedicated platform with a local (to you) phone number and answer that line with your company name. 
• Fully configured client intake tracking system, including:
• Waitlist management
• Visual tools to show each client and what stage of the process they are in
• Coordination with your insurance credentialing team
• Weekly meetings with your clinical management team to review BCBA caseloads and availability to take on new clients
• Tracking of online referral sources (to help with marketing intelligence)
• Schedule of when to expect new clients to launch (updated weekly)
• Coordination with your recruiting team to ensure that new clients will have trained staff ready to go at launch date
• Scheduling and oversight of each client kickoff meeting, where the assigned BCBA will take over as the main point of contact for the family
